Student Registration & Studio Policies
By registering for lessons with Leading Note Music, students and/or their parents or guardians acknowledge and agree to the following policies.
1. Lesson Scheduling & Reserved Time Slots
Lesson times are arranged by mutual agreement between the teacher and student/family and are subject to availability.
Once a lesson time has been reserved, that time is held exclusively for the student for the duration of the teaching year, which runs from September 1 through August 31. The reserved time remains the student’s regular lesson time unless otherwise agreed upon.
Lesson fees are payable monthly in advance, on or before the first day of each month.
2. Student Cancellations & Missed Lessons
Lesson fees cover not only the scheduled teaching time, but also lesson planning, preparation, administration, and other work performed by the teacher outside of the lesson.
Consistent attendance is also essential to maintaining continuity and supporting student progress.
For these reasons, lesson fees are non-refundable for student- or parent-initiated cancellations or missed lessons.
When a student or parent provides at least 24 hours’ notice of a cancellation, Leading Note Music will provide an opportunity for a make-up lesson, subject to teacher availability. Make-up lessons must be scheduled during an available lesson time that is mutually convenient and must be used within a reasonable period.
Make-up lessons may occasionally be taught by a teacher other than the student’s regular teacher, including a qualified teacher apprentice.
When less than 24 hours’ notice is provided, a make-up lesson cannot be guaranteed.
In cases of unexpected illness or emergency, families are asked to notify the studio as soon as reasonably possible by phone or email. Leading Note Music will make reasonable efforts to accommodate such circumstances.
3. Studio Closures & Holidays
Leading Note Music will be closed on certain holidays and during selected breaks throughout the teaching year. The studio will not necessarily be closed for every statutory holiday.
Scheduled studio closures will be communicated to families in advance whenever possible.
4. Teacher Cancellations & Rescheduling
Leading Note Music reserves the right to reschedule lessons when necessary. This may occur due to music festivals, competitions, professional commitments, unforeseen circumstances, or other studio-related events.
Rescheduled lessons may be offered in studio or online, depending on availability.
Where reasonably possible, at least 24 hours’ notice will be provided by email, and any revised lesson schedule will be made available through the student/parent portal.
In the event of teacher illness or an unexpected emergency, notice may be provided with less than 24 hours’ notice by email or text.
5. Withdrawal from Lessons
One month’s written notice is required to withdraw from lessons, whether the withdrawal is permanent or temporary.
During the notice period, regular lesson fees remain payable and the student’s reserved lesson time remains in effect.
In the case of a temporary withdrawal, Leading Note Music cannot guarantee that the student’s previous lesson time will be available upon their return.
6. Annual Registration Fee
Each student enrolled with Leading Note Music is subject to a $25 annual registration fee.
This fee helps offset administrative and program-related expenses, including recital venue rentals and subscriptions to online music education and teaching platforms such as Tonic Tutor.
7. Personal Information
Leading Note Music collects and maintains personal information reasonably required to administer lessons, communicate with students and families, and provide music education services.
Information collected may include the student’s and parent/guardian’s name, address, email address, telephone number, age, date of birth, and other information reasonably necessary for studio administration.
Personal information may be used or disclosed for purposes including:
- Communicating with students and families regarding lessons, schedules, payments, programs, events, and studio activities.
- Communicating information from organizations such as the Royal Conservatory of Music, Conservatory Canada, and music festivals regarding examinations, competitions, programs, and related activities.
- Responding to a medical or other emergency when necessary.
Leading Note Music will make reasonable efforts to safeguard personal information and use it only for appropriate studio, educational, administrative, or emergency purposes.
8. Photography, Audio & Video
Leading Note Music may photograph, audio-record, or video students during lessons, recitals, performances, competitions, and other studio-related activities.
These photographs and recordings may be used on the Leading Note Music website, social media, promotional materials, or other studio communications to showcase student accomplishments and activities.
Parents/guardians or adult students may request that photographs, audio recordings, or videos of a particular student not be used for these purposes. Such requests will be respected.
9. Student & Parent/Guardian Responsibilities
Students and parents/guardians are expected to communicate respectfully with teachers and studio staff and to support a positive, safe, and productive learning environment.
Students are encouraged to practise regularly, attend lessons consistently, arrive prepared and on time, and treat teachers, fellow students, studio property, and equipment with respect.
Parents/guardians are responsible for ensuring that younger students arrive for lessons on time and are picked up promptly following in-studio lessons.
10. Policy Updates
Leading Note Music reserves the right to update its studio policies when necessary. Families will be notified of significant policy changes, and updated policies will apply from the effective date communicated by the studio.
